PAY AND BENEFITS

 

Annual Pay Range: $50,222.70 - $63,454.30

 

Hourly Pay Range: $24.145530 - $30.506877

 

Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position.

The Clackamas County Dog Services is searching for an experienced, customer service oriented, and extremely motivated individual to join our team as an Office Specialist 2. If you are selected for this position, you will play a critical role in providing customer service and clerical support to the department staff and management, as well as to the public. Specifically, you will be responsible for responsible for answering phone calls from the public, documenting information, and coordinating response with Dog Control Officers.

 

As an Office Specialist 2, you will provide exemplary customer service in person, in writing, and over the phone, assisting customers with licensing, financial transactions, requests for service, adoption inquiries and dog reclaim and impound. In this role, it will be absolutely critical to have superior organizational skills, exemplary customer service skills, excellent prioritization skills, as well as strong typing and accurate data entry skills.

 

Required Minimum Qualifications/ Transferrable Skills:*

 

• A minimum of two (2) years of related experience that would provide the required knowledge and skills to perform the responsibilities of this position

• A minimum of two (2) years of increasingly responsible clerical office experience, including data entry, reception and document processing

• A minimum of two (2) years of experience providing customer service over the phone and in person, including working with people who are experiencing extreme emotions

• A minimum of one (1) year of experience entering and retrieving data into/from database(s)

• A minimum of one (1) year of experience working with sensitive and confidential information

• A minimum of one (1) year of experience in positions that required strong organizational skills

• A minimum of one (1) year of experience establishing priorities and managing workload with minimal supervision

 

Preferred Special Qualifications/ Transferrable Skills:*

 

• Experience processing documents for court hearings

• Experience with Microsoft software applications, such as Word, Excel, Outlook, and Teams

TYPICAL TASKS

 

Duties may include but are not limited to the following:

 

• Answer and return phone/emails reporting incidents and requesting assistance from dog services; perform data entry related to reported incidents

• Assist customers with licensing, financial transactions, requests for service, adoption inquiries and dog reclaim and impound (enter new license, rabies, microchip information into database, transaction information and animal record and health details)

• Maintain docket and case files (i.e. add/remove cases from docket based on issuance, payment, and/or confirmation of service); assist with hearings notifications and questions (calculate amounts owed from orders, send notifications, document payments); organize/track physical files/exhibits and add data entry in database

• Process public records requests

 

WORK SCHEDULE

 

This position works 40 hours during a standard workweek of Monday through Friday. Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended.

 

Please Note: This position is designated as on-site/in-person. It is expected that the selected candidate will perform duties at the specified on-site work location.

The Department of Transportation & Development/Dog Services Division enforces all County laws governing the care, control, impounding, licensing, adoption and disposal of animals.

 

The purpose of the Dog Services program is to provide dog sheltering, education, complaint resolution, licensing, protection, and enforcement services to the public so they can reunite with lost dogs, benefit from the companionship of a well-matched adoption or placement and experience a healthy, safe, and livable community.
