Job Summary:
This recruitment will be used to fill one full-time Office Specialist 2 position for the School of Civil & Construction Engineering at Oregon State University (OSU).
The Office Specialist 2 is responsible for providing administrative support, which includes customer service, reception, and general administrative duties. This position also supports the School of Civil & Construction Engineering (CCE) by assisting in course scheduling and providing support to the Industry Liaison.

Key Responsibilities
58% – Administrative Duties
• Performs numerous office and organizational support tasks, and other assigned support tasks.
• Assists with answering telephones, screening and directing calls, taking messages, and assisting callers and office visitors by providing accurate information and referring to appropriate personnel.
• Utilizes computer and technology-related functions including, but not limited to, Zoom, DocuSign, Box, SAP Concur, and any new technology implemented.
• Manages sensitive and confidential information in both written and verbal form including the maintenance of confidential files.
• Assists in managing data and furnishing information necessary for internal and external communications and reporting.
• Work with faculty to collect graduate appointment data. Enter and track graduate appointments using Benny Hire. Provide reports as requested.
• Ensures a safe, welcoming and respectful environment.
Scheduling – 25%
• Schedule all academic classes for undergraduate and graduate course offerings. Communicate with associate head and school head to determine faculty workloads. Contact faculty as needed to make necessary schedule changes. Work with COE scheduler to ensure information for each term entered into CLSS correctly. Send any updates/changes/edits to COE scheduler for each term.
• Prepare academic program reports using data from CORE and other data sources.
• Reserve classrooms and conference rooms for meetings, events, etc. for faculty, students, staff within and outside of CCE on 25Live and Outlook (depending on room).
• Communicate with undergrad head advisor to check capacity needs for each course, new class offerings, adding sections when needed, managing enrollment/capacity, etc.
12% – Industry Liaison Support:
• Assists Industry Liaison and/or program participants with registration, payments, and provides program information and assistance.
• Assists Industry Liaison with scheduling, reporting, and tracking.
• Assists Industry Liaison with distributing promotional flyers, informational letters and memos, schedules of events, event programs, registrations, procedure manuals, and program calendars.
5% – Other Duties as Assigned
What You Will Need
• A high school diploma or GED.
• Commitment to fostering an inclusive and supportive environment for students, faculty, staff, and campus community.
• Experience with complex scheduling.
• Experience with Microsoft Office Suite including Word, Excel, PowerPoint or equivalent.
• Ability to learn computer applications appropriate to job functions.
• Experience in a position that required a high level of organization, decision making, problem solving, in a collaborative environment.
• Experience managing long-term projects that require continual information gathering and recording.
• Demonstrated ability to take initiative and meet strict deadlines.
• Strong verbal and written communication skills.
• Ability to work collaboratively within a team.
• Excellent attention to detail.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
• Experience collaborating with professionals in leadership within universities, government agencies, or private industry.
• Knowledge of university specific software such as Banner, CORE, OnBase, and CIM.
Working Conditions / Work Schedule
Office environment, 8am-5pm on weekdays (occasional evening or weekend events). May need to lift, and carry up to 25 pounds.
