With your attention to detail and knowledge of records retention, you will support the agency’s mission by helping to conserve the state’s natural resources through proactive coordination of Human Resources legal discovery, union and public disclosure requests; ensuring HR records are in compliance with the state records retention schedule and state/federal personnel record laws; and digitizing of agency personnel records.
Your experience will be used to provide consultation and determinations for discovery records requests and/or union requests for Human Resources.
Using your skills to lead and train others, you will conduct records management workshops and similar instructional sessions and assist in the development of instructional materials.
Work together with a talented team of HR professionals to expand your knowledge of HR functions and improve HR record practices.
Duties:
What to Expect-
Among the varied range of responsibilities held within this role, the HR Forms & Records Analyst 3 will,
Records retention
Schedules and coordinates manual and electronic forms and/or records management services including files consulting, records retention scheduling, essential records scheduling, and similar services.
Manages the program’s records room, ensuring that records are stored in a safe and efficient manner.
Prepares records for transfer to the state records center or state archives.
Reviews records retention and essential records schedules to ensure conformance with legal requirements and state and agency or institution standards.
May develop, implement, and/or maintain an electronic filing system for HR records.
This position maintains the program’s archive records database.
Manages the electronic HR records systems, including the digitizing of personnel files.
Public disclosure/records request coordination.
Serves as the primary contact for all public disclosure and information requests that impact the HR Office.
Acts as liaison with WDFW Public Records Officer.
Reviews and processes public record requests; assists in the development of public disclosure guidelines and training.
Develop and maintain forms web repository and web links.
Working Conditions:
Work setting
The majority of the work is performed in an office setting, and requires the ability to frequently bend and lift up to 35 pounds.
Schedule
This position typically works Monday – Friday, 8 hours per day.
Qualifications
Required Qualifications:
Proficiency with Microsoft Office programs (Word, Excel, Access, SharePoint, and Outlook).
And
Four (4) years of full-time experience in records management and disposition, and disclosure of public records.
Please note an associate’s degree in business administration, accounting, or related field will substitute for one (1) year of the required experience. A bachelor’s degree in a related field will substitute for two (2) years of the required experience.
Preferred Qualifications:
In addition to the required qualifications, our ideal applicant will possess some or all the following:
Work in a state agency human resources office.
Working knowledge of the WA State Public Records Act (RCW 42.56).
Working knowledge of the WA State Preservation and Destruction of Public Records Act (RCW 40.14).
Strong attention to detail resulting in high accuracy rate.
Excellent written and oral communication skills.
Ability to multi-task and manage priorities successfully.
